1 - Overview

Product installation and operation is very straightforward – follow the instructions within this guide and you shouldn’t have any problems!

 

 

XC Connect

 

XC Connect consists of the XC Connect Client and XCN Server.

 

XC Connect Client/Connector:  is a software component that is installed on every user’s computer.  The Client handles the data interface between Microsoft Outlook®, Ximian Evolution™, Microsoft Entourage®, OS X iCAl and Address Book and the XCN Server.  The XC Connect client is downloaded and installed from the XCN server (see Section 5).

 

XCN Server: is a software server that is installed on a computer that is accessible by your users (via an IP address or host name).  The XCN Server manages the shared data amongst the users.

 

The XC Connect Client on the individual user computers communicates with the XCN Server via your local LAN network (in your office) or WAN (the Internet) and does so by pointing to the IP address or host name of the XCN Server.

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

XC Vault

 

XC Vault consists of just the XCN Server and is accessed via any web browser.  There is no user-side software to install.  Users access XC Vault via a URL (http://<server_IP_address>/xcnetwork/login.jsp)

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

For XC Connect you will be installing:

  1. The License file; required for the XCN Server.
  2. The XCN Server software; installed on a computer that your user’s computers can access via an IP address or domain name/host name.
  3. The XC Connect Client software: installed on your user’s computers – desktops, laptops.

 

For XC Vault you will be installing:

1.       The License file; required for the XCN Server.

2.       The XCN Server software: installed on a computer that your user computers can access via an IP address or domain name/host name.

Note:  No client is necessary for XC Vault – you will use your web browser (i.e., Internet Explorer) to access XC Vault.

 


If both XC Connect and XC Vault are going to be used, you will be installing:

1.       The License files; one for XC Connect and one for XC Vault.

  1. The XCN Server software installed on a computer that your user computers can access via an IP address or domain name.
  2. The XC Connect Client software:  installed on your user’s computers – desktops, laptops.

 

 

2 – Downloading and Installing the XCN Server

2.1 WINDOWS SERVER

The XCN Server software provides the functionality for XC Vault and XC Connect and manages the shared data between users.  This software is to be installed on a Win2000/XP Pro/XP Home/2003/NT computer that you are designating as the host for the XCN Server and is accessible via an IP address or host name.   

 

Note:  IIS should not be running.  If it is necessary to have IIS, please refer to the Knowledge Base article:  Integrating with IIS  or contact support@xcnetwork.com for the procedure to integrate with IIS.

 

Note:  If there is an existing instance of MySQL please refer to the Knowledge Base article: Integrating with MySQL  or contact support@xcnetwork.com for the integration procedure.

 

Note:  If a Firewall is in place on the host computer, port 80 and 10001 must be open to enable communication with XC Connect and XC Vault.  If you need to change the server port allocation, please either refer to Modifying Ports in our Knowledge Base or contact support@xcnetwork.com for the correct procedure.

 

Download and Installation:

 

1.       Click the ‘Download’ link from the Xchange Network Software Download Center page to download the ‘XCN Server – Windows’ self-extracting file from the Xchange Network website. 

2.       Save this file to a known folder on your computer. 

3.       When the download is complete, select ‘Open’ in or double-click on the file that you downloaded to begin the installation. 

4.       The Install Shield program will automatically install the XCN Server and the Setup Wizard will take you through the installation procedure.

 

 

2.2 LINUX SERVER

The XCN Server software provides the functionality for XC Vault and XC Connect and manages the shared data between users.  This software should be installed on a Linux (Redhat/Mandrake/Debian/Gentoo and others) computer that you are designating as the host for the XCN Server and is accessible via an IP address or host name.  

 

Note:  If there is an existing instance of MySQL please refer to the Knowledge Base article: Integrating with MySQL  or contact support@xcnetwork.com for the integration procedure.

Note:  If a Firewall is in place on the host computer, port 80 and 10001 must be open to enable communication with XC Connect and XC Vault.  If you need to change the server port allocation, please either refer to  Modifying Ports in our Knowledge Base or contact support@xcnetwork.com for the correct procedure.

 

Download and Installation:

 

1.       Click the ‘Download’ link from the Xchange Network Software Download Center page to download the ‘XCN Server – Linux’ tar file from the Xchange Network website.

Note:  we support download managers such as Get Right and Download Accelerator Plus.  Do not invoke the download manager until you have read all the Installation Instructions.

2.       Save the *.tar.gz file to a temporary directory on the Linux computer. We recommend /tmp/.  Open a command window.

3.       Log into root as ‘su –’.

4.       Change directories to the temporary directory that now contains the downloaded file.    cd /tmp/.

5.       Execute the command ‘tar –xzf <file name>.tar.gz’ (for example ‘tar –xzf xcnetwork_server_linux_3.0.x).  This will create an ‘xcnetwork[version #]’ directory in the /tmp/ directory and untar the files to that directory.

6.       Copy (from the /tmp/ directory) the License files to the new /xcnetwork<version #>/ directory

cp *.license xcnetwork<version #> .

7.       Change directories to the new directory      cd /xcnetwork[version #]/.

8.       Execute the command ‘sh install_xcnetwork.sh.

When asked if you want to integrate with Apache, respond according to your requirement.  If you do not have an instance of Apache running, enter ‘no’.

 


 

 

2.3   OS X SERVER

The XCN Server software provides the functionality for XC Vault and XC Connect and manages the shared data between users.  This software should be installed on an OS X computer that you are designating as the host for the XCN Server and is accessible via an IP address or host name.  

 

Note:  If there is an existing instance of MySQL please refer to the Knowledge Base article: Integrating with MySQL  or contact support@xcnetwork.com for the integration procedure.

Download and Installation:

 

1.       Click the ‘Download’ link from the Xchange Network Software Download Center page to download the ‘XCN Server – OS X *.gz’ file from the Xchange Network website.

Note:  we support download managers such as Get Right and Download Accelerator Plus.  Do not invoke the download manager until you have read all the Installation Instructions.

2.       Create a directory under ‘Applications’ called ‘Xchange Network Server’ with the Finder application.  Please not that it is case sensitive.

3.       Save the *.gz file to Applications/Xchange Network Server directory on the OS X computer.

4.       Double click the *.gz file.  The file will unzip and mount, displaying a window that will contain the .pkg file.

5.       Double-click the .pkg file and follow the instructions.

6.       Complete the install by following the prompts.

 

 


3 – Configuring the XCN Server

First time installation:

First time installation will invoke the Setup Wizard, which will step you through setting up the XCN Server and your users.  The information that follows will allow you to administrate the XCN Server at any time.

 

3.1   Accessing the Administrative Screen

You may access the XCNetwork Administration page from any computer with access to the XCN Server Host.  The URL is:   

http://<ip address or host name of server>/xcnetwork/admin/  where <ip address or host name of server> refers to the computer hosting the XCN Server.

If you are accessing the server from the hosts’ own terminal, open a browser and point to: http://localhost/xcnetwork/admin/.

 

If you get an error such as “Page cannot be found”, make sure that your browser is set to accept cookies.  It is necessary for XC Vault to be able to set a cookie for authentication purposes.

 

Once you have accessed the XCN Server, the login screen below will be displayed. 

 

 

 

Login into the XCN Server administration page as a user with “administrative” privileges in order to manage users, folders, and their permissions.   In the event that you have lost the username of a user with “administrative” privileges contact XCN Support (support@xcnetwork.com) and we will provide you with an administrative override utility. 

The XCN Server administration page is the central point for setting up users, folders, downloading XC Connect client software and managing your system configuration.

After your login credentials have been entered and authenticated against the XCN server, you will be taken to the XCN Administration page shown below.

 

 

 


3.2   Updating ‘My Profile’

You may change your user settings by clicking ‘My Profile’.  Update your user email address (must be in email address format ‘name@xxx.com’), password (minimum 4 characters), first and last name and time zone.

 

 

 

 

3.3  Creating Users

Add new users to the XCN Server by clicking ‘Add User’.

 

 

 

 

 

Enter a new user’s email address (must be in email address format ‘name@xxx.com’), password (minimum 4 characters), first and last name, time zone and desired “Company Role“ (Administrator, Member, Guest, or Restricted).  See below for a definition of Company Roles.  

 

Email Address:  this is a users ‘username’ and must be in email format (name@domain.com)

Password:  must be a minimum of 4 characters

First Name/Last Name:  both must be provided

Time Zone:  This is the user’s time zone

Company Role:  There are four possible Company Roles:   

Administrators:  Read/Write/Delete privileges

Members:  Read/Write privileges.  Exception:  may Delete items that it creates (for example, an Outlook Contact that user created or an XC Vault file that user uploaded).

Guests:  Read only privileges.

Restricted:  Access is granted only to those XC Connect or Vault folders to which the user is provided access  (as a Guest, Member, or Administrator of that folder).    A restricted role is typically used to provide users with access to a specific folder(s) outside of the “Company” team.  Any user with a “Restricted” Company Role will not have visibility or access to the “company” shared folders.

 

When done, select ‘Add New User’.  You will be returned to the main Administration screen.

 

3.4  Managing Users

Update user information by clicking ‘Modify User’ and select your user from the drop down list.

 

 

 

 

 

The following screen allows a user’s profile to be modified.  When you are done, select ‘Update User’.  You will be returned to main Administration screen.

 

 

 

 

 

 

3.5   Configuration

The Configuration section allows you to update your company information.

License Information
The license information page allows you to view the number of licenses allowed and currently used as well as the XCN Server version number.

Security Preferences
The security page allows you to update security preferences such as cookie usage and file encryption options.

Default Client Preferences
The client preferences page allows the user to specify preferences regarding what ports clients should use to contact the Xchange Network Server and what server address should be used for communication.

Company Profile
The company profile page allows you to update company profile information such as the company name and what; if any shared company folders are enabled.

Email Configuration
The email configuration page allows you to update configuration settings so the Xchange Network Server can send email messages to users in certain situations.

LDAP Configuration

The LDAP configuration page enables you to configure the Xchange Network Server to use an LDAP directory for authentication.

 

3.6  Creating Folders

Folders are created through the XCN Server administration page for both XC Connect and XC Vault, and depending on your license key, the functionality for either or both XC Connect and XC Vault will be enabled.

 

XC Connect: Calendar, Contacts, and Task “Folders” (“Categories“ when using Entourage) can be created such as “Sales”, “Marketing”, “Customers”, etc. 

XC Vault: “Folders” are used as a location to store electronic files. 

 

Users with administrative privileges are the only ones who can create and delete shared folders. However, you can designate a user to have “administrative” privileges to a specific folder(s) (“Category”) in order to maintain that folder(s) (“Category”).

 

 

 

 

 

 


Create a new folder by clicking the ‘Folders’ link.

 

 

Enter the Folder name, select a folder administrator and choose the folder type(s) and select the ‘Add Folder’ button.  Next, add users according to the role that you desire them to have (Administrator, Member, or Guest).

The next time the selected users synchronize to the XCN Server, the new Folder will appear in their respective folder lists (XC Connect or XC Vault).  Note: Entourage handles ‘Folders’ as ‘Categories’.

Quick Trick:  You can create a Folder (“Group”) that consists of users.  For example, if you create a folder called “Marketing Group” and do not define it as either a Contact, Calendar, Task, or XC Vault folder, add users to that “Group”, you may then select that “group” name to add users to a folder.

In XC Vault, you may also create nested folders to folders that already exist.

 


3.7  Modifying Folders

3.8 Backing-up your Data

For the protection of your data stored on the XCN Server, the following files should be included in your regular backup procedures:

4 – Installing XC Connect Client/Connector(s)

4.1   Microsoft Outlook for Windows

What it does:

The XC Connect Client manages the transfer of data between the Microsoft Outlook application and the XCN Server.  This component is to be installed on each user’s computer that is running Microsoft Outlook.    The XC Connect client is available to all users by accessing the computer hosting the XCN Server.  Details are below.

 

Download and Installation: 

 

1.       To obtain the XC Connect Outlook connector go to http://<ip address or host name of server>/xcnetwork/admin/.  “<ip address or host name of server>” refers to the computer hosting the XCN Server.

2.       Login as the “user” of the computer with the “username” and “password” that were setup on the XCN Server.

3.       Select the “Downloads” icon on the left side of the screen.

4.       From the “XC Connect Connectors” section, select “Microsoft Outlook”.

5.       Select “Connector for Microsoft Outlook (click to download)  to initiate the download of the XC Connect Connector to your computer.  You will be downloading a self-extracting setup and install .exe.

6.       Save this file to a known location on your computer.

7.       When the download is complete, select ‘Open’ in the Download Complete window and double click on the file.  Install Shield will automatically install the Client and the Setup Wizard will step you through the installation and Setup process.

In the event that something should interrupt or cancel the installation or setup, you should find either a XC Connect program icon on the desktop, or a blue XCN ball will appear in your system tray.  

o        If the blue XCN ball is in your system tray right click on it to re-access the Setup Wizard.

o        If the blue XCN ball is NOT in your system tray, double click on the XC Connect program icon on your desktop.  This will cause the XC Connect process to start and you can then right-click on the blue XCN ball to re-access the Setup Wizard.

 

Please refer to Section 6 “Using XC Connect” for more details on Using XC Connect.   Also, the User Guide is available as a link on the XCN Server by right-clicking on the blue XCN icon in the systems tray and selecting ‘User’s Guide on Server’.

 

5.2   Microsoft Entourage for OS X

This component manages the transfer of data between the Microsoft Entourage application and the XCN Server and is to be installed on each user’s computer that is running Microsoft Entourage.  

 

To install XC Connect for Microsoft Entourage you will need:

1.       OS X 10.2 or higher.

2.       Microsoft Entourage

3.       Administrative access to the OS X machine on which to install the software..

 

Download and Installation:

1.       To obtain the XC Connect Entourage connector go to http://<ip address or host name of server>/xcnetwork/admin/.  “<ip address or host name of server>” refers to the computer hosting the XCN Server.

2.       Login as the “user” of the computer with the “username” and “password” that were setup on the XCN Server.

3.       Select the “Downloads” icon on the left side of the screen.

4.       From the “XC Connect Connectors” section, select “Microsoft Entourage”.

5.       Select “Connector for Microsoft Entourage (click to download)  to initiate the download of the XC Connect Connector to your computer.

6.       Save this file to a known location on your computer.

7.       Double-click on the *.dmg.gz file and the image will be mounted.

8.       Follow the directions during the install until installation is complete.

9.       A ‘Welcome’ window will appear.  This will only appear the first time you synchronize as a new client.  Simply click ‘Okay’.

10.   A message will occur asking you to enter the host name of the server with which to synchronize.  Just click ‘Okay’.

11.   Next, a configuration window will pop up.  Enter the ‘Host’ name; either the host name of the XCN Server or the IP address of the Server.  Your system administrator will provide you with that information. 

12.   Now, select either Manual Sync (checked box) or uncheck the ‘Manual Sync’ check box and select a desired ‘Sync Interval’ and click ‘Save’.

13.   A message will now pop up asking you to enter your login credentials.  Simply click ‘Okay’.

14.   A ‘Login’ dialog box should pop up.  Enter your email address and password (as provided to you by the system administrator) and click on ‘Login’.

15.   Click ‘Synchronize’.

16.   The company folders will appear in the ‘Local Folders’ list as well as any other personal folders to which this user has access.  This first synch may take some time as all personal and company data is downloaded to the Entourage client.

 

4.3    iCAL and Address Book for OS X

This component manages the transfer of data between the OS X iCAL and Address Book applications and the XCN Server and is to be installed on each user’s computer.

 

To install XC Connect for iCal and Address Book you will need:

 

1.       OS X 10.2 or higher.

2.       Address Book 3.0.3 or higher

3.       iCAL 1.5.2 or higher

4.       Administrative access to the OS X machine on which to install the software

 

Download and Installation:

 

1.       To obtain the XC Connect Outlook connector go to http://<ip address or host name of server>/xcnetwork/admin/.  “<ip address or host name of server>” refers to the computer hosting the XCN Server.

2.       Login as the “user” of the computer with the “username” and “password” that were setup on the XCN Server.

3.       Select the “Downloads” icon on the left side of the screen.

4.       From the “XC Connect Connectors” section, select “OS X iCAL and Address Book”.

5.       Select “Connector for OS X iCAL and Address Book (click to download)  to initiate the download of the XC Connect Connector to your computer

6.       Save this file to a known location on your computer.

7.        Double-click on the *.dmg.gz file and the image will be mounted.

8.        Follow the directions during the install until installation is complete.

9.        A ‘Welcome’ window will appear.  This will only appear the first time you synchronize as a new client.  Simply click ‘Okay’.

10.    A message will occur asking you to enter the host name of the server with which to synchronize.  Just click ‘Okay’.

11.    Next, a configuration window will pop up.  Enter the ‘Host’ name; either the host name of the XCN Server or the IP address of the Server.  Your system administrator will provide you with that information.

13.    Next, select a Personal Address Book Group and Persoanl iCAL Calendar and click “Save”.

14.    A message will now pop up asking you to enter your login credentials.  Simply click ‘Okay’.

15.    A ‘Login’ dialog box should pop up.  Enter your email address and password (as provided to you by the system administrator) and click on ‘Login’.

16.    Click ‘Synchronize’.

17.    The company folders will appear in the ‘Local Folders’ list as well as any other personal folders to which this user has access.  This first synch may take some time as all personal and company data is downloaded to the Entourage client.

 

 

 

4.4    Ximian Evolution for Linux

This component manages the transfer of data between the Ximian Evolution application and the XCN Server and is to be installed on each user’s computer that is running Ximian Evolution.  

 

To install XC Connect for Ximian Evolution you will need:

 

1.       A 1.4 or greater installed version of the Sun Java Java Run-Time Environment (JRE).

2.       A 1.4.x installation of Ximian Evolution. 

3.  Root access to the Linux machine on which to install the software.

 

Download and Installation:

 

1.       To obtain the XC Connect Outlook connector go to http://<ip address or host name of server>/xcnetwork/admin/.  “<ip address or host name of server>” refers to the computer hosting the XCN Server.

2.       Login as the “user” of the computer with the “username” and “password” that were setup on the XCN Server.

3.       Select the “Downloads” icon on the left side of the screen.

4.       From the “XC Connect Connectors” section, select “Ximian Evolution”

5.       Select “Connector for Ximian Evolution (click to download)  to initiate the download of the XC Connect Connector to your computer.

6.       Save this file to a known location on your computer.

7.       When the download is complete start a terminal session and, If necessary, change directory to the location in which you downloaded the tar file: ‘cd [download directory]’.

8.       Next, untar/unzip the .tar file by executing: ‘tar -xzf evolution-connector*.tar.gz'.

9.       Now change directory to the ‘evolution-connector’ directory that was created when the file was extracted: ‘cd evolution-connector’.

10.   Execute ‘sh install_connector.sh’ to start the installation script. The install program will then automatically install the Client.

11.   Follow the directions during the install until installation is complete.  When prompted, select XC Connect for Evolution from the programs menu to launch the connector.

12.   A ‘Welcome’ window will appear.  This will only appear the first time you synchronize as a new client.  Simply click ‘Okay’.

13.   A message will occur asking you to enter the host name of the server with which to synchronize.  Just click ‘Okay’.

14.   Next, a configuration window will pop up.  Enter the ‘Host’ name; either the host name of the XCN Server or the IP address of the Server.  Your system administrator will provide you with that information. 

15.   Now, select either Manual Sync (checked box) or uncheck the ‘Manual Sync’ check box and select a desired ‘Sync Interval’ and click ‘Save’.

16.   A message will now pop up asking you to enter your login credentials.  Simply click ‘Okay’.

17.   Now, a ‘Login’ dialog box should pop up.  Just enter your email address and password (as provided to you by the system administrator) and click on ‘Login’.

18.   Click ‘Synchronize’.

19.   The company folders will appear in the ‘Local Folders’ list as well as any other personal folders to which this user has access.  This first synch may take some time as all personal and company data is downloaded to the Evolution client.

 

 

5 – Using XC Connect

XC Connect allows users to share Contact, Calendar, and Task folder, both “personal” and “public”.  The XC Connect Client runs in the background and you typically should have no need to access it.  However, there are a few menu items that may be of interest to you.  For Outlook desktops, right-click on the blue XCN icon in the system tray and an XC Connect menu will appear.  For Evolution, Entourage and OS X desktops, click on the XC Connect ‘Options’ menu.

 

From this menu you may:

 

  • Force a manual sync
  • Check a users’ “Free/Busy” status (User Availability)
  • Configure the location of the XCN Server, sync intervals, personal folders and ports
  • Access XC Vault directly (if you have an XC Vault License)
  • Manage permissions to your personal folders and folders which you are “administering via a link to the User Administration screen.
  • Access an on-line User’s Guide
  • View an Error list for troubleshooting

 

Once you have logged into the XC Connect Server, you will be able to synchronize with your desktop application (e.g., Microsoft Outlook).  You may synchronize manually or on the interval selected in the XC Connect Configuration window.

For users of Microsoft Outlook, you are able to check the status of XC Connect by moving your cursor over the XC Connect icon in the systems tray.   When XC Connect is synchronizing, the icon will turn gold.  When synchronization has completed, the icon will return to a blue color.  A red icon indicates that a data error occurred. 

For users of Ximian Evolution, Microsoft Entourage and OS X iCAL and Address Book, click the ‘Synchronize’ button in the XC Connect window.  When a sync is in process, the sync button becomes grayed out.  When finished, the sync button will become active again. 

If an error occurs, a message will be presented in a window on the screen.  Errors can also be found in the ‘Error Log’.

 

5.1 Your First Sync and What Happens

Two things will happen on your first sync between your desktop and the XCN Server:

  • The XCN Server synchronizes data from your personal folders to the XCN Server, and
  • In Outlook:   XC Connect will create a “Public Folder” in the Outlook Folder List into which all “shared” folders will appear.
  • In Entourage:  XC Connect will create “Categories” for all “shared folders” to which this user has access to.
  • In OS X Address Book and iCAL:  XC Connect will create “Groups” for the various “shared folders that this user has access to.
  • In Evolution:  XC Connect will create new folders in the Evolution Folder List of the shared folders that this user has access to.

Remember:  Entourage folders are represented as categories, so all shared folder items would be part of the appropriately named category.  iCAl and Address Book folders are represented as “Groups”. 

All data is stored locally on your desktop.  The XCN Server will maintain a copy of Calendar, Contact, and Task data, but you will always have access to your data regardless of whether you are attached to the network and the XCN Server or not.  Also, all data on the XCN Server is encrypted, as is the transmission between each Client and the XCN Server.  No “Personal” data is shared until the user specifically grants access to another user to that data.

This first sync could take several minutes, depending on the amount of data that you have in your personal folders.  The typical transfer rate is approximately 100 items per minute, although Entourage processes data much slower (approximately 10 items per minute) [Please note, this is a limitation of Entourage, not XC Connect. ]   Remember also, that throughput will also depend on how many other users are doing their first sync, server host CPU speed, and bandwidth on your LAN/WAN connection.  After that, each sync should be reasonably quick since it only needs to transfer new or modified items.

You can copy items from any of your personal folders to the pertinent “shared” folder in Outlook/Evolution or make an item part of the appropriate category or group in Entourage and iCal/ Address Book.  Upon the next sync, those items will be available to other users.

Note:  A ‘copy’ action will make a new item and cause it to sync to the server as a new item. A ‘move’ action will recognize it as the same item, but in a different folder and send it to the server as a member of the new folder while also removing the item from the original folder.  If the folder you are moving from is a synchronized folder, then this item will be removed from every client's folder as if a delete occurred.

 

 

5.2 Sharing Personal Folders (Contacts, Calendar and Tasks)

1.       Select the XC Connect menu.

For Microsoft Outlook, right click on the blue ball in the systems tray.

For Ximian Evolution, click ‘Options’ on the XC Connect connector window.

For Microsoft Entourage, click ‘Options’ in the menu bar.

2.       Select ‘User Administration on Server’.

3.       Choose the ‘folders’ icon.

4.       Select the folder to which you wish to grant permission to: ‘Calendar’, ‘Contacts’, or ‘Tasks’ Folder.

5.       Out of the right-hand box labeled “No Access”, select the user(s) with whom you wish to share your Contacts and add them to the desired permissions box.

·         Administrators have read/write/delete privileges,

·         Members have read/write, and

·         Guests have read-only.

6.       Select ‘modify personal [folder type] permissions’ and you are done.

7.       The next time the selected user syncs to the XCN Server your designated folder will appear in their Outlook Public Folder, as an Entourage “Category”, an iCAL or Address Book “Group”, or as a folder in Evolution Folder List..

 

5.3 Data Recovery

In the unlikely event that you need to recover data that was deleted, the XCN Server will allow you to recover data up to 30 days prior.  But please note, that Data Recovery recovers all deleted data within the time period that you select (up to 30 days).

 

The data recovery feature allows users to recover XC Connect data for their user, and for whatever folders they are Administrator.

 

To recover data:

 

1.       Select the ‘Folders’ tab.

2.       Choose ‘recover XC Connect data’.

3.       Pick a folder for which to recover XC Connect data and the number of days back to recover from.

4.       Click ‘recover XC Connect data’.

 

Once the data recovery process is complete, the system will provide you with the number of items recovered.

 

Note:  this action will recover all deleted data within the time period that you selected.

 

 

5.4    Installing XC Connect Client Software

Manual Synchronization Only – leave this box checked for Manual synchronization or un-checked for automatic synchronization with the XC Connect server.

Send All Items to Server sends all of the items in your public folders .pst and your personal folders to the XCN server again.

Sync All Past Appointments – leave this box checked if you would like all appointments (historical and future) synced.  If you would like to sync appointments from a specific date in history, uncheck the box and enter the number of days back.

Personal Folders Tab

Personal Folders to synchronize – this provides users with the ability change the default Outlook folder name “Personal Folders” to another folder name (e.g., “<user name>”).  If you wish to keep the Outlook default folder name, then no action is required. 

Note:  Personal folders (other than the default provided by Outlook) need to be created and populated in Outlook and then set in the XC Connect configuration window, prior to a client’s 1st sync with the XCN server.


Ports Tab

XC Connect Client Connector Portidentifies the IP address port on the XCN Server that is listening for XC Connect Client data.  This port must match the port configured on the XCN Server (default is Port 10001).

 

Administration Server Port - identifies the IP address port on the XCN Server for accessing the Tomcat server.  This port must match the port configured on the XCN Server (default is either Port 80 or 8080).

 

Sync Label Colors – enables the use of colors for meetings and appointments.

 

Reset Client - deletes all of your public folders and guid (unique item identifiers) lists and then performs a normal sync.

 

Sync User Defined Properties – enables the synchronization of user defined property fields.

To use XC Connect, you need to log in as a user.   Once you have logged in the first time, the system will automatically log you in when you boot up your computer.  If you have selected a Sync Interval in the Configuration Window (the step above), the contents of the shared folders will begin to sync automatically according to the interval you selected.

 

To Login:

On the connect menu select ‘Log In’ and enter your username (typically your email address) and assigned password.   Note:  if your computer is not connected to your network or the server is not accessible, you will receive an error indicating that the client cannot connect with the server.

 

 

5.7 User Availability

The User Availability feature provides XC Connect users with a reliable view of free/busy information that can be shared with individuals and groups.

1.       To use this feature, select ‘User Availability’ from the XC Connect menu.

2.       Highlight users you wish information on and click the ‘Add’ button.

3.       Click ‘Update Availability’ to view the most up-to-date calendar data on each user.

4.       When you are finished viewing calendar data, click the ‘Logout’ link to close the window.

 

     

5.8    Checking XC Connect Version

To check or confirm the version of the XC Connect Client or Server, select ‘About XC Connect’.  This screen provides XC Connect product version information for the client and server, as well as third party product information.

When the XC Connect client communicates with the XCN server the client status is “active”.    If the XC Connect client is unable to connect with the server, an error message will be displayed.  Outlook clients will also see a red “X” through the blue ball in the systems tray.

 

6 – Using XC Web Interface

The XC Web Interface enables users to access and share both “personal” and “public” Contact, Calendar and Task data via a standard browser.  To access the XC Web Interface, open a browser window and go to http://[server_ip_address]/xcnetwork/xcconnect.

 

After the user’s login credentials have been entered and authenticated with the XCN Server, the user will be presented with the following page:

 

 

 

 

Users can add, modify and/or delete items from personal folder data (Calendars, Contacts and Tasks) as well public folder items.  All shared data will be presented under ‘public folders’ (e.g., Sales Contacts).

6.1.1          Web Calendar

Add a New Appointment

To add a new appointment to your personal calendar, click the ‘new appointment’ link, fill in the appropriate fields and click ‘save’.


Modify an Appointment

To modify an appointment, click on the appointment in the calendar and a window will open.  Click the pencil and paper icon and enter your changes into the calendar fields.  When you are finished, click ‘save’.

If you would like to delete a calendar appointment, click on the appointment and a window will open.  Click the red ‘X’ and confirm that you would like to delete the event by clicking the ‘delete’ button.

Change Calendar View

To change the calendar view to Day, Week or Month, click on the ‘Day’, ‘Week’ or ‘Month’ icon at the top of the page.

 

You may also change the ‘Day’, Week’ or ‘Month’ you are viewing by clicking the gray arrows to the right or left side of current view.

Add a New Contact

To add a new contact, click the ‘new contact’ link, fill in the appropriate fields and click ‘save’.

Modify a Contact

To modify a contact, click on the contact and a window will open.  Click the pencil and paper icon and enter your changes to the contact fields.  When you are finished, click ‘save’.

If you would like to delete a contact, click on the contact and a window will open.  Click the red ‘X’ and confirm that you would like to delete the contact by clicking the ‘delete’ button.

Change Contact View

To change the contact view from detailed contact cards to a phone list, click on the ‘phone list’ link at the top of the page.  You may also choose to sort your contacts by last name or company name by clicking the drop down list next to ‘phone list’.

Add a New Task

To add a new appointment to your personal calendar, click the ‘new task’ link next to the ‘Search’ field.  Fill in the appropriate fields and click ‘save’.

Modify a Task

To modify a task, click on the task and a window will open.  Click the pencil and paper icon and enter your changes into the task fields.  When you are finished, click ‘save’.

If you would like to delete a task, click on the task and a window will open.  Click the red ‘X’ and confirm that you would like to delete the task by clicking the ‘delete’ button.

Filter Task View

To filter your task view, click on the ‘filter’ drop-down list and select the appropriate view (e.g., current tasks, due today, etc.).

6.2   Public Folder Management

Folder management for ‘public folders’ items is the same as ‘personal folders’ items.  The only difference is that your folder access (e.g., Admin, Member or Guest) is dependent on the privileges that were assigned to you as a user to participate in a given group.  In some groups a user may have ‘read-only’ access and in other the user may have ‘read, write and delete’, access.

6.3   General Information

Preferences

You may set your XC Web Interface preferences by clicking the ‘preferences’ link in the gray box.  Preferences include start and end time for a work day and the option to include personal private items in the data available via the web interface.

My Profile

You may change your user settings by clicking the ‘my profile’ link in the gray box.  Update your user email address (must be in email address format ‘name@xxx.com’), password (minimum 4 characters), first and last name and time zone.

 

 

 

User Availability

7 – Using XC Vault

XC Vault is a permissions based, file sharing solution that enables users to store and access any electronic file using a web browser or web folder interface.

 

7.1 User Login

 

Access the User Login Screen

If you are accessing the server from its own terminal, open a browser and point to: http://localhost/xcnetwork/login.jsp/  or

If you are accessing the server from another computer: http://<ip address or host name>/xcnetwork/login.jsp.  You will see a login screen:

 

 

Each user is setup by a company administrator and will need to be given login credentials prior to logging into the system.  After you have logged in you will see a screen similar to the one below:

 

 

 

Your view will depend on the company role you have been assigned your Administrator.  A user will be able to view, edit, move, copy, download, check-out and delete those files for which he/she has permission.

 

7.2 Uploading Files

To upload files to a folder, click the ‘Upload Files’ link at the top of your window.  Enter a description for the file you are uploading.  Browse to the file and select it.  When you are finished, click ‘Upload Files’.   

 

 

 

7.3 Adding a Subfolder

To add a Subfolder, click the ‘Add Subfolder’ link at the top of the page.  Add a folder name and description.  Make the folder public by checking the ‘Make Folder Publicly Available’ check box.  If this option is selected, the folder will be made available to all users.    Click ‘Add Folder’, and you will be returned to the main page.

Note:  Only Administrators of the Folder can make a folder public.

 

 

 

7.4 Modifying a Folder

By clicking the ‘Modify Folder’ link at the top of the page; users can modify a folders name and description.  Once updates have been completed, click ‘Update Folder’ and you will be returned to the main page.

 

 

7.5 Deleting a Folder

To delete a folder, select the folder and then click, ‘Delete Folder’ at the top of the screen. 

Note:  All files resident within that folder must be checked-in, prior to deletion.

To move a file from one folder to another, select ‘Move’ from the drop down list under the Actions column.  Next, select the folder that you would like to move the file into.

To copy a file to another folder, select copy from the drop down list under the Actions column.  Next, select the folder that you would like to copy the file into.

 

7.8 Deleting a File

To delete a file, select the file by checking the check box and then click ‘Delete Selected Files’ (located at the bottom of the page).

 

7.9 Checking-Out Files

To check-out a file, select ‘Check-Out’ from the drop down list under the actions column.   A confirmation message will be presented; select ‘OK’.  The file can then be opened or saved to the desired location.  The lock icon indicates that a file has been checked out.

If you do not want to download the file, but simply check it out to flag other users, you must cancel the option to download or open the file and then select ‘Cancel Check-Out’ from the drop down list Action column.

If you download a file and then decide that you do not need to flag it as being ‘checked-out’, select ‘Cancel Check-Out’ from the drop down list under the actions column. 

When you upload a file of the same name, the file will be marked as being ‘checked-in’ if it was previously ‘checked-out’.

 

 

 

7.10 File Details

To review the details of a file, select ‘View Details’ from the drop down list under the actions column.  The following page will be presented:

 

 

 

Usage tip:  You can cut and past the ‘URL Link’ into an email to point a recipient directly to a specific file.  Also, if the folder has been made Publicly Accessible via the Modify Folder page, then this link can be used by anyone, even if that user does not have login credentials to XC Vault.

File may be sorted according to name, size, created by and last modified date by clicking on the link (i.e., Name).  The arrow will indicate which column is selected for sorting and which direction the sort will be presented.

A basic search can be performed by entering the file name in the Search box.  The “Advance Search” capability allows you to do Boolean Searches, specify folders, and time periods.

What are Web Folders -  Web Folders uses the WebDAV open Internet standard that allows clients on your PC to access files and folders on a server in much the same way as on the desktop, while actually residing on a remote server accessed via the Web.

What operating systems, browsers, and programs support Web Folders?
Web Folders are currently supported by Microsoft Internet Explorer 5 and greater running on Windows 98/2000/NT, Linux or Mac and by MS Office(2000/XP/2003).  Once installed, Web Folders can be accessed, for example, from Windows Explorer like other folders, by Internet Explorer "Open as Web Folder", or by using Office (2000/XP/2003) applications.

How can I tell if I have Web Folders installed already? Web Folders appear in Windows Explorer under "My Network Places”.

 

 

Setting up Web Folders for the First time – Creating Web Folders is a multi-step process. Once you have set it up, you will be able to access your files directly from "My Network Places" if you're using Windows XP. If you're using Windows 98 you will access it through "Network Neighborhood."

Note:  Before you can create a Web folder, you need your XC Vault username and password, and the URL of the XCN Server host.

 

To access XC Vault using Web Folders, please follow the instruction scenario that is most applicable to your system environment.  If you are presented with an XC Vault login window, please enter your XC Vault email address and password.

 

For Windows Clients

Once access to Web Folders has been gained, don't forget to bookmark the page to avoid going through this process again.

  1. If you have Internet Explorer 5 or above, please click on the following link: Access Web Folders

       OR
  2. Click on the 'File' menu item in Internet Explorer, then select 'Open...'.  Check the 'Open as web folder' checkbox, and for the URL enter: http://[Server]/xcnetwork/webdav/ and click 'OK'.

       OR
  3. Double-click the 'My Network Places' icon on your desktop.  Double-click on 'Add Network Place'. For the 'Location of the network place', enter: http://[Server]/xcnetwork/webdav/.  Once the URL has been entered click on 'Next >'.  It should ask you to login, please do so with your XC Vault username and password.  Finally it will ask you to enter a name for the Web Folder.  Choose whatever will help you remember, for example 'Company Web Folders'.  From now on, the network place will be listed in your 'My Network Places' list to be accessed at any time.

If you are still unable to gain access to Web Folders then please contact your system administrator for assistance.

 

 

For Linux Clients

For Linux Clients

Unfortunately, most Linux distributions do not include applications to enable the usage of Web Folders/WebDAV.  The following are some open source software solutions, which are freely available to use for such a purpose.

 Clients

For Mac Clients

Mac OS X Users: Mac OS X integrates a Web Folders/WebDAV client with the 'Finder' application.

To access XC Vault with Finder, activate Finder and then select 'Go' -> 'Connect to Server...' from the Finder menu.

For the Address, enter: http://[server]/xcnetwork/webdav/.

It should ask you for your username and password, use your XC Vault e-mail and password. You should then see 'webdav' listed when you click on 'Computer' in a finder window. From this point forward, XC Vault is considered an additional 'Volume' called 'webdav' and you will be able to interact with it as if it were another drive.

   OR

Other Mac Users: Unfortunately, non-OS X installations do not have built-in support for Web Folders/WebDAV. However, the following project, Goliath, is an application that supports Web Folders on the Mac. The minimum requirements for Goliath are either a PowerPC based Macintosh running Mac OS 8.1 or higher, or a system running Mac OS X version 10.0.4 or greater.

Using Web Folders

You can copy and move files to and from your web folder as you would any other folder on your hard drive, diskette, or file server.

To upload files to the web server, drag them and any supporting folders to the newly created web folder.

To download files from the web server, double-click on the newly created web folder. Drag the file or folder you want to download to your desktop, hard drive, or folder where you'd like to work on it.

Open a file using an office program by clicking the ‘Open’ dialog box (File menu), you can view and open the contents of Web folders, and from the ‘Save As’ dialog box (File menu), you can publish or save a copy of a file to a Web folder. You can also create a Web folder by clicking Web Folders on the Places Bar and then clicking Create New Folder
